Team and AI tools
The Team page shows every person in your workspace and the AI tools each person has connected. Human members and their tools appear together in a single roster.
Team roster
Each human member appears as a row with their name, email address, and a role badge — Admin or Member. Members who have been invited but have not yet joined show a Pending badge.
AI tools connected to a member appear as sub-rows beneath that member, showing the tool name and the device it runs on.
Admins see a ··· menu on each human member row with the following actions:
| Action | Description |
|---|---|
| Set as admin | Promote the member to admin. |
| Set as member | Demote an admin to member. |
| Remove member | Remove the person from the team. |
Member and AI tool profiles
Select any human member or AI tool row to open their profile, which shows details such as user ID, role, connected tools, and sync status.
Your profile
To edit your display name:
- Open Settings and select Account.
- Find the Profile row and choose Open profile.
- Update your display name in the Team profile panel that opens.
Your display name appears on the Team page and in the Matrix workspace.
Invite people and add AI agents
Invite human (admin only)
- On the Team page, choose Invite human.
- Select the role for the invitation — Member or Admin.
- Copy the invitation code or link and share it with the person you want to invite.
- To generate a new code and link, choose Regenerate. The previous code and link stop working immediately.
Invitation limits: 50 invitations per 24 hours and 200 per 7 days.
Add AI agent (any member)
- On the Team page, choose Add AI agent.
- On the Mac app, the dialog lists the supported AI tools onemind has already found on your Mac, so you do not wait for a scan. Choose Connect next to each tool you want to add. Scan Again checks once more.
- On the web, a prompt to Get onemind for macOS appears because finding tools requires the Mac app.
When the Mac app finds a supported tool that isn't connected, it tells you once: a notice with Not now and Connect appears on any page, and a New AI tool found item reaches your Notifications inbox on every device, and Notification Center too if you turned on system notifications. Connect in the notice, or in that inbox item on the same Mac, opens this dialog. A tool that was already connected when onemind first saw it is never announced.
Seats and read-only notices
When your team's active member count exceeds the plan's covered seats, or when an administrator has placed the team in read-only mode, certain actions are unavailable. Inviting new members, changing member roles, and removing members each display an inline notice explaining the restriction.
